The AI sales assistant playbook, end to end

This is the whole workflow Kai runs: how a lead is scored, captured, researched and contacted, and how the card moves through the pipeline until you take a call. Each readiness tier gets its own cadence, so a shaky setup never gets pushed into volume outreach it can't support.

The six steps

1 · Score

Quiz

Five weighted questions produce a readiness score out of 10 and a tier: Ready, Guided or Not Ready. The tier — not a guess — decides everything that follows.

2 · Capture

Kai

Name, email and business are captured with the answers attached, and the lead is filed as a prospect card at the New Lead stage. Leads from your other sites arrive the same way through the lead intake address.

3 · Research

Kai

Kai pulls together what matters about the account — what they sell, who they sell to, the likely bottleneck their answers point at — at a depth set by their tier.

4 · Outreach

Kai + you

Kai drafts the first touch and the follow-up sequence from the research. Each lead's page carries a ready-to-send email you can edit before it goes out.

5 · Pipeline

You

Replies move the card through Contacted, Diagnostic, Proposal, Onboarding and Won. Every Kai action, note and stage move lands on the lead's timeline, so nothing is reconstructed from memory.

6 · Handover

You

When someone asks for a call, Kai logs the request against the card and hands it to you with the score, the answers and the full history already in place.

What each tier gets

Ready

Run outbound now

Your foundations hold, so Kai goes straight to volume: researched lists, sharp first lines, tight multi-touch sequences.

  • 5 touches over 14 days
  • Channels: Email, LinkedIn, Call
  • Deep account research
  • Next stage: Diagnostic

Guided

Outreach plus tidy-up

Kai runs a slower, higher-quality cadence while you fix the plumbing — fewer touches, more research per lead.

  • 4 touches over 12 days
  • Channels: Email, LinkedIn
  • Standard account research
  • Next stage: Contacted

Not Ready

Foundations first, then outreach

Kai keeps outreach to a single well-researched touch and spends the rest of the effort on documenting what you already do.

  • 2 touches over 5 days
  • Channels: Email
  • Segment research
  • Next stage: Contacted
